What we are looking for:

We seek an experienced and dynamic Event Operations Manager to join our team in Aspen, Colorado. The successful candidate will manage all aspects of event planning and execution, oversee guest communications, and contribute to the smooth operation of our various locations. This role is crucial in ensuring the satisfaction of our guests and, therefore, requires strong organizational skills, proficiency in event management software, and the ability to provide exceptional customer service.

What you'll do:


Inquiries and Guest Communication:

  • Manage inquiries and guest communication through email, TripleSeat, phone, and in-person interactions.
  • Ensure a prompt response within 24 hours to all guest communications, aiming for same-day responses until 5 p.m.

Event Management:

  • Oversee the planning and design of event menus, including coordination with chefs and kitchen staff.
  • Manage guest menu selections, build out pricing, create InDesign menus, and print as needed.
  • Handle a minimum expected volume of 10 monthly events, aiming for maximum capacity.
  • Interact directly with guests during events to ensure satisfaction and address any issues.

Tripleseat Bookings:

  • Maintain proficiency in using Tripleseat to book and manage events.
  • Build guest profiles, detail BEO items, correctly add service charges and rental fees, and collect payment info and deposits.
  • Match BEOs in Toast on the day of the event or verify that teams closed checks properly when not on-site.
  • Meet specific KPIs, including achieving $1 million in event sales for the next 12 months and a $2 million target for the 2025 calendar year.

Event Staffing Schedules:

  • Schedule and manage staffing for events, with the number of staff ranging from 2 to 20+ FOH employees, depending on event scope.
  • Utilize 7Shifts or HotSchedules to create and manage staff schedules.

Event OS&E Materials:

  • Manage procurement and inventory of all Operating Supplies & Equipment (OS&E) materials required for events.
  • Ensure all materials, such as platters and sign holders, are available and in good condition for each event.
  • Coordinate rental orders when necessary.

Event Uniforms:

  • Oversee the inventory, ordering, and distribution of event uniforms to staff.
  • Manage the collection and laundering of uniforms through the laundering service.

Guest Onboarding and Training:

  • Set up new guests in the Mountain Stream System, including contact, accounting, delivery days, charges, and item visibility.
  • Visit guests to provide on-site training and ensure they are well-prepared to use the Mountain Stream system.
  • Follow specific training modules and programs to ensure guests are well-prepared for their events.

Requirements

Cafe Manager Shift:

  • Commit to one shift per week at Swedish Hill as Cafe Manager, arriving at 7 am - flexibility needed pending business demands, hours of operations, and schedule updatesΒ 
  • Open the cafe for service, organize the team, and manage daily operations.
  • Handle bread logs, time sheets, and Toast check management and ensure smooth operation of all stations.

Working Locations:

  • Spend approximately 40% of your time at AAM Cafe, 30% at Louis Swiss Bakery, and 30% at Las Montanas offices.
  • Due to space and operational constraints, adhere to guidelines restricting work from Las Montanas or Clark's dining rooms during operational business hours.

Compensation and Benefits:

  • A 1% commission on Aspen private event sales is paid out every payroll period.
  • Ensure BEOs are built out accurately, and events are executed without issues to earn the commission.

Physical Requirements:

  • Ability to lift to 50 pounds, stand for long periods, and move between locations frequently.
  • Ability to handle multiple tasks, prioritize work, and maintain composure under pressure.

Working Hours:

  • Typical working hours are 9 am to 5 pm, with flexibility for evenings and weekends as needed for events. Overtime and weekend work will be required based on event schedules.

Reporting Structure:

  • Report directly to the Service Director with heavy communication from the Events Director.
  • Regularly interact with key teams and personnel across multiple departments, including kitchen staff, event coordinators, and management.

Team Structure:

  • Manage a team of 20+ staff members for events, depending on the event size.
  • Work closely with other managers and staff to ensure smooth operations.

Onboarding and Training:

  • The onboarding process includes a two-week training period with set milestones.
  • The Events Director will provide initial training for TripleSeat and event communications, the Culinary Director for Mountain Stream, the Cafe Manager for Swedish Hill operations, and the Service Director for all location operations.

Performance Metrics and Evaluation:

  • Performance will be measured against KPIs such as event success rate, guest satisfaction, and booking targets.
  • Performance evaluations will be conducted after 90 days and annually by the Service Director.

Communication and Collaboration:

  • Participate in regular meetings and cross-departmental projects.
  • Regularly attend Tuesday's 2 p.m. Louis Swiss + Swedish Hill Manager Meetings, Tuesday's 3 p.m. Aspen Art Museum BEO, and Wednesday's 10 a.m. Clark’s Manager Meeting (as needed) and Thursday's 10 a.m. Las Montanas Manager Meeting.
  • Collaborate with various teams to improve processes and drive innovation.
